D R K Trading, trading as Quote Decider AI, is the data controller for personal data processed through Quote Decider AI. This notice explains what we collect, why we collect it, and your rights.
What we collect and why
- Account details (name, email and authentication information): to create and secure your account. Legal basis: contract.
- Business and customer records you enter (jobs, quotes, invoices, customer contact details): to provide the service. Legal basis: contract.
- Quote responses from your customers (decision, message, device type): to record their answer. Legal basis: legitimate interests.
- Technical data (IP address, device and usage information): for security, fraud prevention and fixing problems. Legal basis: legitimate interests.
- Support messages: to help you. Legal basis: contract and legitimate interests.
- Job-board content, photos, bids, chat and reviews: to connect customers and tradespeople and provide the job and dispute features. Legal basis: contract and legitimate interests. Open job posts and their photos can be viewed by signed-in people browsing the board; customer contact details are shared with the winning trader.
- Reports and complaints (report details, related content and our decisions): to investigate misuse, protect users and comply with legal duties. Legal basis: legitimate interests and, where relevant, legal obligation. We limit access to those handling reports.
- AI question suggestions (job context you submit): to generate suggested questions. Legal basis: contract. Do not include unnecessary personal or sensitive information in prompts.
- Automatic safety checks: photos you upload are checked by an AI service for explicit or unsuitable content before they are stored, and chat and dispute messages are automatically checked for explicit or offensive language before they are sent. Photos that fail the check are not stored. No decision with legal effect is made automatically; you can contact us if you think a check was wrong. Legal basis: legitimate interests and legal obligation (keeping users safe).
Who we share it with
We share data with hosting and infrastructure providers who process it on our behalf, and with Paddle, our Merchant of Record, for selling the product, managing subscriptions, payments, tax and invoicing. We may also share it with professional advisers such as accountants and lawyers, and with authorities where the law requires it. We never sell your data.
International transfers
Some providers may process data outside the UK or EEA. Where they do, we rely on adequacy decisions or standard contractual clauses to protect it.
How long we keep it
We keep your data while your account is open, and for as long as needed to meet legal obligations, resolve complaints or establish legal claims after that. The length depends on the record and applicable duties; contact us for details about a particular record. We then delete or anonymise it.
Security
We use appropriate technical and organisational measures, including encryption in transit, access controls and per-account data isolation.
Your rights
Under UK GDPR you can access, correct, erase, restrict, port or object to processing of your data, and withdraw consent at any time. We respond within one month. You can also complain to the Information Commissioner's Office (ico.org.uk).
